ExtractIQ Upload for PMWeb
ExtractIQ Upload for PMWeb saves time because it can automatically upload a batch of documents into PMWeb Document Manager. When performed manually, the user needs to fill in fields in data entry forms and identify the file to be uploaded. It may only be possible to add a hundred files in a working day whereas ExtractIQ Upload can typically complete the same uploading task in a minute or two.
Manual uploading tends to increase data entry errors and therefore require secondary quality inspection to ensure the accuracy of the document metadata. ExtractIQ Upload will verify the quality of the metadata before the files are uploaded and save this effort.
One of the challenges is entering new and legacy documents into PMWeb in a fast and efficient manner. ExtractIQ Upload Tool for PMWeb can automate the process of uploading documents to PMWeb. It can be used in conjunction with Extract IQ Process to automatically extract the metadata needed by PMWeb when the documents are uploaded. In the case where legacy scanned project documents are to be archived into PMWeb Document Manager, ExtractIQ Capture can help with the capture process.
PMWeb is a web-based enterprise class project and program management solution which includes PMWeb Document Manager, a full featured electronic file management system with the ability to add folders, files, metadata and version control for managing asset and project documents.
ExtractIQ Upload for PMWeb uses an Excel spreadsheet to hold the document metadata for each file to be uploaded. Each row in the spreadsheet represents each file to be uploaded. One of the columns in the spreadsheet holds the path and filename of each file. The columns in the Excel spreadsheet will map to the metadata fields in PMWeb and a configuration tool is provided to configure this mapping. The upload tool supports multiple document types, each with unique metadata fields and these may be mixed in one Excel worksheet if needed.
ExtractIQ Upload Tool for PMWeb drastically reduces the time to upload project files into PMWeb Document Manager for active or legacy projects. All sorts of project files can be added, as an example, Record and Shop Drawings, Specifications, Office Files, Correspondence and Construction Photographs. For an active project this supports the rapid uploading and distribution of project documentation which will help accelerate project review tasks and decision making.
The Upload Tool prompts the user to browse and locate the Excel spreadsheet containing the metadata and then starts uploading the documents. During uploading ExtractIQ Upload will display a visual indication of progress and provide the ability to pause or cancel the operation. A log file provides full details of any error that might occur during the upload process. This allows the customer to make any corrections and upload just the corrected items into PMWeb.
ExtractIQ Upload Tool for PMWeb can be configured to support each customer PMWeb configuration. This can support custom defined metadata fields and the customer configured project and folder structure. The customer can amend the configuration themselves at any point in the future.
